Privacy Policy
ActorPilot holds the record of your career — auditions, contacts, headshots, invoices. This page says plainly what we store, who touches it, and how to get rid of it.

The short version
ActorPilot is made by a working actor, not an advertising company. Your career records — auditions, credits, contacts, invoices — are stored in Google Firebase under an account only you can read, and we never sell or rent them.
The free version shows ads, supplied by Google AdMob, and those ads work the way ads on phones generally do. That is set out in full under Advertising below, along with how to turn personalised ads off. There are no analytics SDKs and no crash reporters in the app.
What we collect
Account information
To sign you in we store your email address. If you use "Continue with Google" we also receive your Google account's basic profile — name, email address, and profile picture — from Google. We never see or store your password: sign-in happens through a one-time email link or through Google.
The information you enter
Everything you put in the app is stored against your account so it can be shown back to you across devices:
- Your actor profile, physical measurements and size-card details
- Credits, training, and résumé content
- Industry contacts you add (names, agencies, and any contact details you enter)
- Auditions, projects, call sheets, schedules, tasks and routines
- Daily logs, streaks and craft-training activity
- Invoices, including the client details and amounts you enter
Files you upload
Headshots, call sheets and scripts you attach are stored in Firebase Storage in a folder reserved for your account.
Usage counters
Reading a call sheet with AI costs us money on every use, so the free plan includes two a month. We store a small counter against your account — how many you have used this month, and how many extra credits you have earned from watching a rewarded ad. That is all it records.
What we do not collect
- No location tracking
- No contact-list or photo-library scraping — the app only receives the specific images you pick
- No behavioural analytics or session recording

Why we hold it
We process your information solely to provide the app: to authenticate you, to store and sync your career records, to generate the documents you ask for (résumés, size cards, invoices), and to answer support requests you send us. Where the law requires a legal basis, ours is the performance of our agreement with you — providing the service you signed up for.
Advertising
The free version of ActorPilot is paid for by ads, served by Google AdMob. You will see two kinds: a full-screen ad occasionally between actions, and a rewarded ad you can choose to watch to earn an extra call-sheet parse. Nothing is ever taken from your career records to target them — AdMob never receives your auditions, contacts, credits or uploads.
What AdMob receives
To show and measure ads, Google receives the ordinary technical information that comes with any ad request: your device type and operating system, rough region (usually from your IP address), and — only if you allow it — your device's advertising identifier. Google may use that identifier to show ads based on your interests across different apps. Under Apple's and the UK/EU rules, that counts as tracking, and we declare it as such.
Your choice, and how to change it
- On iPhone and iPad, iOS asks you directly the first time — "Allow ActorPilot to track your activity across other companies' apps and websites?" If you say no, ads still appear but are not personalised. You can change it any time in Settings → Privacy & Security → Tracking.
- In the UK, EU and Switzerland, Google's consent form appears before any ad loads, and records your choices about personalised advertising.
- Either way, every feature of the app works exactly the same. Saying no to tracking costs you nothing.

Pro subscription
ActorPilot Pro is an optional paid subscription that removes ads and lifts the monthly call-sheet limit.
We never see your payment details. The purchase is handled entirely by the App Store or Google Play. They tell us only whether your subscription is currently active and when it expires, and that is all we store against your account. Card numbers, billing addresses and your Apple or Google account details never reach us.
Manage or cancel a subscription the same way as any other on your device: in the App Store or Google Play account settings. Refunds are handled by Apple and Google, not by us.
Who else sees it
We use a small number of service providers. They process data on our instructions to make specific features work:

Call sheets frequently contain other people's names and contact details. Please keep that in mind before uploading one — by doing so you are asking us, and Google's Gemini service, to process that document.
We share information beyond this list only where we are legally required to, or where you explicitly ask us to (for example, exporting a résumé or invoice and sending it yourself). We never sell your data.
Where your data lives
Our Firebase project stores data on Google's infrastructure in the United States. If you are using the app from elsewhere, your information is transferred there.
Keeping & deleting
We keep your information for as long as your account exists. You can edit or delete individual items — a contact, a credit, an uploaded file — at any time inside the app, and that removes them from our database.
Deleting your whole account. In the app, open Settings and tap Delete account at the bottom. Your uploaded files, your records and your sign-in are erased immediately and permanently.
If you cannot sign in, or would rather we did it, email hello@actorpilot.com from the address you signed up with. We will remove the account within 30 days and confirm when it is done. There is nothing you need to pay or justify.
Backups may retain copies for a short period after deletion before they naturally age out.
Your rights
Depending on where you live — in particular under the UK/EU GDPR and the California Consumer Privacy Act — you have the right to access the information we hold about you, to correct it, to have it deleted, to receive a copy in a portable format, and to object to certain processing. Most of these you can exercise directly in the app; for the rest, email us and we will action it.
We do not discriminate against anyone for exercising these rights. If you believe we have mishandled your data, you may complain to your local data protection authority.
Children
ActorPilot is a professional tool intended for adults. It is not directed at children under 13, and we do not knowingly collect information from them. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
If we change how we handle your information, we will update this page and move the date at the top. Material changes will be flagged in the app.
